2. Rental Agreement

All rentals are subject to availability and the terms of our standard rental agreement, which must be acknowledged (digitally or physically) before or upon Equipment pick-up. The Client is responsible for the proper care, use, and timely return of all rented Equipment. Any damage, loss, or late return of Equipment will incur additional charges as detailed in the rental agreement and this policy.

3. Bookings, Payments, and Cancellations

Bookings: Bookings for Equipment should be made in advance, particularly during peak seasons in Hiroshima, to ensure availability. A booking is confirmed upon receipt of any required deposit or full payment, as specified at the time of booking.

Payments: Full payment is typically due before or at the time of Equipment pick-up. We accept various payment methods, which will be communicated during the booking process.

Cancellations:

• Cancellations made at least 7 days prior to the rental start date are eligible for a full refund of any amounts paid, less any non-refundable booking fees if specified.
• Cancellations made within 7 days but more than 48 hours prior to the rental start date may be subject to a cancellation fee (e.g., 50% of the total rental cost).
• Cancellations made within 48 hours of the rental start date, or no-shows, are typically non-refundable.
• Specific cancellation terms for large group packages or custom bookings may differ and will be outlined in the respective booking confirmation.

4. Client Responsibilities

• The Client agrees to use the Equipment in a safe and proper manner, consistent with its intended use and any instructions provided by Camping Experts.
• The Client is responsible for inspecting the Equipment upon receipt and notifying Camping Experts immediately of any pre-existing damage or defects. Failure to do so may result in the Client being held responsible for such damage.
• The Client assumes all risks associated with the use of the Equipment and outdoor activities. Camping Experts is not liable for any injury, loss, or damage to persons or property arising from the use of the rented Equipment, except where such liability cannot be excluded under Japanese law.
• The Client agrees to return the Equipment in a clean and good working condition, normal wear and tear excepted, by the agreed return date and time.

5. Equipment Damage, Loss, or Late Return

Damage/Loss: The Client is responsible for the full replacement cost of any Equipment lost, stolen, or damaged beyond repair during the Rental Period. For repairable damage, the Client will be charged the cost of repair.

Late Return: Equipment returned after the agreed date/time will incur late fees, typically charged at a daily rental rate for each day or part thereof the Equipment is late.

6. Limitation of Liability

To the fullest extent permitted by applicable Japanese law, Camping Experts shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, or any loss of data, use, goodwill, or other intangible losses, resulting from (a) your access to or use of or inability to access or use the services/equipment; (b) any conduct or content of any third party on the services; (c) any content obtained from the services; and (d) unauthorized access, use or alteration of your transmissions or content.

7. Governing Law

These terms and conditions are governed by and construed in accordance with the laws of Japan, and you irrevocably submit to the exclusive jurisdiction of the courts in Hiroshima for the resolution of any disputes.
